Privacy Policy

1. Who we are
This policy explains how SOFT BYTES (SCOT) LTD (“SoftBytes”, “we”) handles personal data collected through softbytes.co.uk. We are the data controller for that data. Our details are in section 8.
2. Cookies and analytics
We do not use cookies for tracking or advertising, and we do not use third-party advertising pixels, so there is no cookie banner on this site.
We measure visits with Plausible Analytics, which does not use cookies, does not collect personal identifiers and does not track visitors across other websites. Plausible only shows us aggregated figures, such as page views and referring sites.
When you arrive, the page notes where your visit came from: the referring website, the first page you visited and any campaign tags in the link. Nothing is saved on your device. It is held only while the page is open and is sent to us only if you send a project brief.
3. Project briefs and enquiries
When you send a project brief or contact us, we collect the information you choose to give us:
- Contact details: your name, email address and, if you add it, a phone or WhatsApp number
- Organisation details: company name and type of business
- Project details: the services you are interested in, what you are trying to solve, your timeline and the case study you started from, if any
- How you found us: your answer to “How did you hear about us?”, if you give one, and where your visit came from (the referring website, the first page you visited and any campaign tags in the link you followed)
We use this information to review your brief, reply to you, prepare proposals, keep a record of our conversation and understand how people find us. Our lawful basis is legitimate interests: responding to an enquiry you have made and running our business. We never sell your data or add you to a marketing list.
Once you send a brief, your name, email and answers are kept in your browser’s session storage so the confirmation page can show them. They are cleared when you close the tab.
4. Who processes your data
We use a small number of service providers to run the site and handle enquiries:
- Supabase, to store project briefs
- Resend, to send us an email notification when a brief arrives
- HubSpot, our CRM, to manage enquiries and follow-ups
- Plausible Analytics, for cookieless visitor statistics
Data is encrypted in transit with TLS, and access to briefs is limited to the SoftBytes founders. Some of these providers may store or process data outside the UK. We use providers that offer safeguards recognised under UK data protection law for these transfers.
5. How long we keep it
We keep enquiry data only for as long as we need it to respond, follow up and keep a record of our conversation. If we go on to work together, project records are kept for the duration of the engagement and any legal retention period. You can ask us to delete your data at any time.
6. Your rights
Under UK GDPR and the Data Protection Act 2018, you have the right to:
- access the personal data we hold about you
- have inaccurate data corrected
- have your data deleted
- restrict or object to how we use it
- receive a copy of your data in a portable format
To use any of these rights, email contact@softbytes.co.uk. We will reply within one month.
7. Complaints
If you are unhappy with how we have handled your data, please tell us first. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
